As a special privilege for Convention participants, BIR has pre-booked a limited number of rooms at the Cavalieri and some other supporting hotels (see Accommodation) at preferential rates. If our delegates/guests want to take advantage of these special rates, they must return their registration and hotel reservation form to the conference organiser EGA or preferably register online by 26 March 2012 at the latest. After this date, accommodation at preferential rates cannot be guaranteed.

Access
Most international airlines fly to Rome. Be aware that the Eternal City has two airports: Leonardo da Vinci in Fiumicino (20 miles from the city centre) and Ciampino (10 miles from the city centre).
If you arrive at Leonardo da Vinci, there is a fast train, the "Leonardo Express" to Rome's central railway station Termini. It leaves the airport every 30 minutes from Monday to Sunday. If you want to take a taxi, make sure to take an official cab (they are white, have a taxi sign on the roof, an official number and a meter as well as an insignia on the driver's door reading "Comune di Roma" ). The approximate fare to the hotel is € 40.
If you arrive at Ciampino, the "Terravision" bus service will take you to Termini station. The taxi fare is about € 30.

Visa
Please always check your status with the Italian Embassy or Consulate in your country.
If you need a visa, be aware that the application for a "Schengen" visa must be done at least one month prior to the convention.
In order to assist you with your visa, EGA can issue an invitation letter, provided they receive your request before 20 April 2012.

Registration Desk
The convention secretariat and registration desk will be open at the entrance of the convention and exhibition area.

Upon arrival at the registration desk, each registered delegate receives a kit containing his personal credentials (badge, invitation cards, tickets, etc), the final programme and a list of all registered participants.
Access to the Convention and Exhibition area
You are requested to wear your badge at all times! Access to meetings, exhibition, hospitality area, networking sessions, luncheons and social events are restricted to registered delegates and guests wearing their badge and showing the relevant invitation cards or tickets. Always carry some photo ID or a copy of your passport.
BEWARE OF BADGE FRAUD : lending a convention badge may result in the immediate exclusion from the convention and the company's expulsion from BIR membership. Random checks will be carried out throughout the convention area.
Lost badges and tickets will not be replaced and will imply new registration.
Shuttle bus services
There will be a regular shuttle service between the Rome Cavalieri Hotel and the supporting hotels (see Accommodation). This service is only for registered delegates and accompanying persons wearing their badges.
List of Participants
To help delegates identify potential business partners, each registered delegate receives the official list of all participants (registered before 11 May 2012) with delegate names, company names and addresses, the hotel where they are staying and the commodity division codes. There will also be an additional list of late registrants. BIR Gold Members can access a regularly updated list of participants on www.bir.org using their personal access details. As from 14 May 2012 other BIR members have also access to this list.
While every effort is made to ensure that the contents of the participants list is correct at the time the document goes to press, BIR and EGA cannot be held responsible for errors or omissions due to incomplete or illegible information provided by the delegate. Please check the accuracy of your personal details on the participants list that is made available on the BIR website prior to the convention and inform EGA accordingly.
Interpretation
Simultaneous interpretation in English, French, German and Italian are provided at all our plenary sessions. Workshops are held in English only. Participants speaking Spanish are also entitled to speak their own language during debates.
Divisional Luncheons
Registered delegates can attend luncheons on each day of the convention (i.e. Wednesday, Thursday, Friday). One lunch is included in the delegate's registration fee. Please indicate your preferred lunch day by ticking the appropriate box on the registration form. Subject to availability, additional tickets can be purchased at a price of €100.- (only for registered delegates/spouses).
Hospitality area
On Tuesday, 29 May, a complimentary coffee bar is open from 14.00 to 18.00 near the registration desk. On the following days, complimentary coffee and tea are served in the exhibition and hospitality area from 08.30 to 18.00 (17.00 on Friday 1 June). A cash bar is also available throughout the convention in the exhibition area.
"Business suite" rental
BIR is renting additional meeting rooms which you can book for up to 2 hours for your business appointments. Prices and availability can be checked at the convention registration desk during the convention but advance booking can be made as from 14 May 2012 with the BIR Brussels secretariat.
Gold Member Privileges
Delegates representing BIR Gold Member companies benefit from special discount registration fees and early access to the list of participants. They also have exclusive use of the Gold Member Lounge (open from Wednesday, 30 May to Friday, 1 June) with complimentary coffee/tea, secretarial facilities and Internet access.

Press
Registered journalists have access to telephone and Internet facilities in a special press room. In addition, a press table is available for the trade press to display their publications. Other commercial advertisement is not permitted on the press table.
